ROIPOS Privacy Policy

1. Introduction

This Privacy Policy explains how Bodellie Corporation ("Bodellie", "we", "us", or "our") handles information in connection with your use of the ROIPOS point-of-sale software (the "Application").

ROIPOS is a Windows desktop application installed and operated by a retail store on its own on-premises hardware. Most information handled by ROIPOS never leaves the store’s local computer. This policy explains the limited exceptions and, in particular, how ROIPOS interacts with the third-party services you choose to connect to it (such as Intuit QuickBooks Online).

2. Scope

This policy covers information handled by the ROIPOS Application installed on your store’s computer, and by the software update / license / support services that Bodellie provides to keep the Application running.

It does not cover information handled by:

  • Intuit QuickBooks Online, QuickBooks Desktop, or any other Intuit product you connect to ROIPOS. Intuit’s handling of your data is governed by Intuit’s Privacy Statement.
  • Shipping carriers, payment processors, or any other third-party service you connect to ROIPOS. Each such service is governed by its own privacy policy.

3. Information We Collect

3.1 Information stored locally on your store’s computer

The vast majority of information ROIPOS handles is stored on your store’s own computer, in the local SQL Server database that the ROIPOS installer sets up. Bodellie does not have routine access to this local database. It includes:

  • Product catalog, pricing, and inventory information you enter.
  • Customer records you create or import, including names, addresses, phone numbers, and email addresses.
  • Transaction records (sales receipts, refunds, credit memos, payments).
  • Employee records used for in-app authentication (employee names and PIN hashes).
  • Configuration and preference data.
  • Diagnostic and sync log files written to your local disk.

3.2 Information transmitted to Bodellie

ROIPOS transmits the following limited categories of information to Bodellie’s servers over encrypted HTTPS:

  • License validation. Your ROIPOS license key and a machine identifier, sent to Bodellie’s license service at application startup to verify your subscription.
  • Software updates. A version check to determine whether a newer ROIPOS version is available.
  • Support diagnostics (optional). When you click "Send Log to Support", the diagnostic log file for that session is sent to Bodellie support. You control when this happens.

Bodellie does not collect, store, or receive your day-to-day transaction data, customer records, product catalog, or payment information as part of normal ROIPOS operation.

3.3 Information exchanged with third-party services you connect

When you enable an integration (for example, connecting ROIPOS to QuickBooks Online, a shipping carrier, or a payment gateway), ROIPOS exchanges data directly between your store’s computer and that third-party service. Bodellie is not a party to that exchange — the traffic goes from your computer to the third party over HTTPS, not through Bodellie.

4. QuickBooks Online Integration

If you choose to connect ROIPOS to QuickBooks Online, the integration operates entirely between your store’s computer and Intuit. Bodellie does not receive, store, or have access to your QuickBooks Online data.

4.1 Authorization

The connection uses Intuit’s OAuth 2.0 authorization flow. You sign into Intuit through your web browser and expressly grant ROIPOS access to a specific QuickBooks Online company. You can revoke this authorization at any time from within ROIPOS (Admin → Company Preferences → QuickBooks → Disconnect) or from your Intuit account settings.

4.2 QuickBooks Online data ROIPOS reads

  • Chart of Accounts
  • Customers
  • Items (Service and Non-Inventory types)
  • Tax Codes and Tax Rates
  • Payment Methods
  • Company Info and Preferences (for validation and configuration)

4.3 QuickBooks Online data ROIPOS writes

  • Invoices, Sales Receipts, and Payments corresponding to point-of-sale transactions you complete in ROIPOS.
  • Credit Memos and Refund Receipts corresponding to refunds and returns.
  • Journal Entries used to record inventory adjustments and accounting reconciliation.
  • Customers and Items when a matching record does not already exist in QuickBooks Online.

ROIPOS does not use the QuickBooks Payments API to charge cards; payment processing occurs through your separately configured payment gateway, and only a record of the completed payment is written to QuickBooks Online.

4.4 Storage of QuickBooks Online data

QuickBooks Online records that ROIPOS reads are cached in your local ROIPOS database on your store’s computer for the sole purpose of mapping ROIPOS records to their QuickBooks Online counterparts during sync. This cached data:

  • Never leaves your store’s computer.
  • Is not sent to Bodellie or any third party.
  • Is not aggregated with data from any other ROIPOS customer.
  • Is not sold, licensed, or otherwise made available to any third party.

4.5 Authentication tokens

The OAuth 2.0 access token and refresh token issued by Intuit are stored on your store’s computer, encrypted using the Windows Data Protection API (DPAPI). They are scoped to that specific Windows user account on that specific computer and cannot be decrypted from another account or another machine.

4.6 Diagnostic logs

Each QuickBooks Online sync produces a diagnostic log file (qbsynclog_YYYYMMDD_HHMMSS.txt) written to your store’s local disk. The log records what was synced, what was skipped, and any errors, together with Intuit’s per-request trace identifier (intuit_tid) to help Intuit and Bodellie support diagnose issues you report. These logs remain on your computer unless you choose to share them by clicking "Send Log to Support" or "Open Log Folder".

4.7 Disconnection

You can disconnect ROIPOS from QuickBooks Online at any time. When you do:

  • Your OAuth tokens are revoked with Intuit and deleted from your local computer.
  • ROIPOS stops sending data to or reading data from QuickBooks Online.
  • The cached QuickBooks Online reference data (accounts, items, customers) remains in your local ROIPOS database so that it can be re-linked if you reconnect later. If you wish to erase it entirely, contact ROIPOS support.

5. How We Use Information

Bodellie uses the limited information it receives (license validation data, version-check requests, and any diagnostic logs you send) only to:

  • Verify your ROIPOS subscription is active.
  • Deliver software updates.
  • Provide technical support in response to your requests.
  • Investigate and resolve product defects.

Bodellie does not use your information to advertise to you, does not sell your information, and does not share it with third parties except as required by law or as reasonably necessary to provide the service (for example, cloud infrastructure providers that host the update and license services under confidentiality obligations).

6. How We Store and Protect Information

  • All network traffic between the ROIPOS Application and Bodellie’s services is transmitted over HTTPS using TLS 1.2 or higher.
  • All network traffic between the ROIPOS Application and Intuit’s services is transmitted over HTTPS using TLS 1.2 or higher, as required by Intuit.
  • OAuth tokens and provisioning credentials are stored on your store’s computer encrypted with Windows DPAPI (AES-256).
  • Bodellie’s own servers are hosted on Amazon Web Services and follow AWS’s security best practices, including network isolation, access controls, and audit logging.

7. Data Sharing and Third Parties

Bodellie does not sell your information. Bodellie does not share your information with third parties for marketing purposes. Bodellie shares information only:

  • With cloud infrastructure providers (such as Amazon Web Services) that host the license and update services on Bodellie’s behalf, under contractual confidentiality obligations.
  • When required by law, subpoena, or valid legal process.
  • To protect Bodellie’s rights or the safety of others where reasonably necessary.

Third-party services you choose to connect to ROIPOS (such as Intuit QuickBooks Online, shipping carriers, or payment gateways) receive data directly from your store’s computer under those services’ own privacy terms. Bodellie is not a party to those transmissions.

8. Your Rights and Choices

  • Access. Because your ROIPOS data lives on your own computer, you have direct access to it at any time through the Application.
  • Deletion. You can delete records in ROIPOS through the Application. You can uninstall ROIPOS entirely from Windows "Add or Remove Programs", which will remove the Application and its local database.
  • Disconnection from integrations. You can disconnect any third-party integration (including QuickBooks Online) from within ROIPOS at any time, as described in Section 4.7.
  • Support diagnostics. Sending a diagnostic log to Bodellie is always your choice and never automatic. You can review each log by clicking "View Log" before deciding whether to share it.

Depending on where you live, you may have additional rights under applicable data-protection law (for example, the California Consumer Privacy Act, the California Privacy Rights Act, or the EU General Data Protection Regulation). To exercise any such right, contact us using the details in Section 11.

9. Data Retention

Because ROIPOS data resides primarily on your own computer, you control its retention. Bodellie retains:

  • License validation records for the life of your subscription plus a reasonable period thereafter for audit and dispute resolution.
  • Support diagnostic logs you have voluntarily shared for as long as reasonably necessary to resolve your support request, after which they are archived or deleted according to Bodellie’s internal retention schedule.

10. Changes to This Policy

Bodellie may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date at the top of this page and, where appropriate, communicated within the Application or by other reasonable means.
